1. Data Controller

2. Types of Data Processed
Through this website, the following categories of data may be processed:
- Data voluntarily provided by the user: identification and contact data (first name, last name, email address, phone number, company, role) and any other personal information entered in the text field of the contact form.
- Browsing data: IP address, date and time of access to the site, URI/URL of requested resources, server response code, operating system, type of browser used, device-related information, collected through the normal operation logs of the server and through technical cookies.
The Controller does not request the input of special categories of personal data under art. 9 GDPR (e.g., data related to health, political opinions, etc.); if the user voluntarily includes them in the message, such data will be processed only to the extent strictly necessary to manage the request.
3. Purposes and Legal Bases of Processing
Personal data collected through the site are processed for the following purposes:
- Managing requests sent via the “Contact” form
- Purpose: to fulfill requests for information, assistance, or contact sent by the user through the appropriate form.
- Legal basis: execution of pre-contractual measures taken at the request of the data subject and/or execution of a contract pursuant to art. 6, para. 1, lett. b) GDPR, as well as the legitimate interest of the Controller to manage and respond to user requests (art. 6, para. 1, lett. f) GDPR).
- Functioning and security of the site
Purpose: to ensure the correct technical functioning of the site, the security of IT systems, the prevention and detection of fraudulent activities or abuses (e.g., unauthorized access attempts or unusual use of the form).
Legal basis: legitimate interest of the Controller in the security of the network and information and in maintaining the proper functioning of the site (art. 6, para. 1, lett. f) GDPR).
With the free, specific, and informed consent expressed by the User through the appropriate form, the email address may be used for sending newsletters and informative communications regarding products, services, and initiatives of DocBit and JERA S.R.L. The User may revoke consent at any time and unsubscribe from the newsletter through the specific link present at the bottom of each communication received or by making an explicit request to the Controller at the contact details indicated in art. 1 of this notice. The legal basis for processing is the consent of the User pursuant to art. 6, para. 1, lett. a) GDPR.
4. Provision of Data
The provision of data marked as mandatory in the contact form is necessary to fulfill the user’s request; without such data, the Controller will not be able to provide a response.
The provision of non-mandatory data is optional, but their omission may make the response less easy or complete.
5. Methods of Processing and Retention Times
Personal data are processed using manual, computer, and telematic tools, adopting appropriate technical and organizational measures to ensure the security, integrity, and confidentiality of the data, in accordance with arts. 32 and following of the GDPR.
Data will be retained for the time strictly necessary to achieve the purposes for which they were collected.
After the retention period, data will be deleted or made anonymous in an irreversible manner.
6. Recipients of Personal Data
Data may be processed by:
Employees and collaborators of the Controller, expressly authorized and instructed to process data under art. 29 GDPR and art. 2-quaterdecies of Legislative Decree 196/2003.
Third parties providing services to the Controller (e.g., hosting companies, IT service providers, system maintainers, consultants), appointed, where necessary, as Data Processors under art. 28 GDPR.
Personal data will not be disclosed to the public.
If, for technical reasons, data are transferred to countries outside the European Economic Area, the transfer will take place in compliance with arts. 44 and following GDPR, based on an adequacy decision of the European Commission or standard contractual clauses approved by the Commission.
7. Rights of the Data Subject
The user, as the data subject, may exercise at any time the following rights recognized by arts. 15-22 of the GDPR:
- right of access to personal data;
- right to obtain the rectification or updating of inaccurate or incomplete data;
- right to obtain the deletion of personal data (right to be forgotten) in the cases provided by law;
- right to obtain the limitation of processing;
- right to data portability, to the extent that the legal basis is consent or contract and processing is carried out by automated means;
- right to object to processing carried out for reasons related to the particular situation of the data subject, where processing is based on the legitimate interest of the Controller.
If processing is based on consent, the user has the right to revoke it at any time, without prejudice to the lawfulness of processing carried out prior to the revocation.

The data subject also has the right to lodge a complaint with the Data Protection Authority (www.garanteprivacy.it) if they believe that the processing concerning them violates the legislation on personal data protection.
